Converting Jobs to Invoices
When a job is complete, you can generate an invoice directly from the job — carrying over all the details so you don't have to re-enter anything.
Prerequisites
Before converting a job to an invoice, make sure:
- The job has a client assigned (the invoice needs a recipient)
- You've added line items or costs to the job (these become invoice line items)
- The job status is Completed or Review
Step-by-Step Conversion
- Open the completed job from the Jobs page or pipeline
- Click the Convert to Invoice button in the top-right corner
- Review the pre-filled invoice:
- Client — copied from the job
- Line items — copied from job costs or scope items
- Description — the job title and description are included
- GST — calculated automatically based on your settings
- Make any adjustments (add or remove line items, change amounts)
- Click Save to create the invoice as a draft, or Send to email it immediately
What Gets Copied
The following data transfers from the job to the invoice:
- Client details — name, email, address
- Line items — each job cost or scope item becomes an invoice line
- Descriptions — job description added as invoice notes
- Reference — the job number is linked for tracking
Partial Invoicing
For large jobs, you may want to invoice in stages:
- Open the job
- Click Convert to Invoice
- Remove line items that aren't ready to invoice yet
- Send the partial invoice
- Repeat for subsequent stages
Each invoice is linked to the job, so you can see the total invoiced amount vs. the total job value.
Job Profitability
After invoicing, the job detail page shows:
- Total invoiced — sum of all invoices generated from this job
- Total expenses — costs linked to the job
- Profit — invoiced minus expenses
- Margin — profit as a percentage
This helps you understand which types of jobs are most profitable.
**Tip:** Use job-to-invoice for every completed job, even if you previously quoted. It ensures nothing is missed and creates a clear paper trail.
