The receptionist does what you allow it to do and nothing else. You set that under Receptionist, then the configuration screen.
The three presets
Bookings only. It books and moves appointments and takes messages. It will not answer general questions. This is the right setting if your pricing is complicated or your services change often.
Bookings and questions. Everything above, plus opening hours, services and pricing, answered from your FAQ and your service list. It can also put a caller through.
Full receptionist. Everything above, with the most room to help. The most flexible, and the one that needs your FAQ to be in good shape.
The individual jobs
Underneath the presets, each capability can be switched on or off:
- Book appointments. Finds a time and creates the booking in your calendar
- Move a booking. Shifts an existing booking to a new time
- Answer opening hours. Read from the hours you set, not invented
- Answer pricing questions. Only from your FAQ and your services. It does not estimate
- Take messages. Writes down who rang and why
- Put a caller through. Rings your escalation number
What it will not do
It will not quote a price you have not published, promise a time your calendar does not have, or make a commitment on your behalf. If a caller pushes past what it knows, the right outcome is a message or a handover, not a guess.
Test it before you point customers at it
