The Vehicles section is the spine of the workshop. Service history, rego dates, tyre readings, certificates, claims and share links all attach to a vehicle, not to the person who dropped it off. Cars change owners; the history stays with the car.
Vehicles appear in the sidebar for businesses set up as automotive. There is nothing to buy.
Adding one
Open Vehicles and choose Add vehicle.
- Rego is the only required field.
- Owner links the car to a contact. Leave it blank for a walk-in and link it later.
- VIN, then Decode VIN, fills year, make, model, fuel and transmission for you. See decoding a VIN.
- Make and Model are pick lists, so two people typing "Toyota" do not create two spellings.
- Current KM is the odometer at intake.
- Rego renewal takes the state and the expiry date, and a CTP expiry where you record one.
- Notes is for the thing the next person needs to know: no diesel in this one, customer wants a call before any extra work.
Finding it again
The search box matches rego, VIN, make, model and owner name. Four filters sit above the list:
- All
- Never serviced, the cars in your book with no service logged yet
- Rego expired
- Rego expiring soon
The sort control offers Recent, A to Z, Top revenue and By owner. By owner groups fleets together, biggest fleet first. Top revenue ranks by what the car has actually earned you.
The workshop dashboard also has a rego box. Type a plate, press enter, and you land on the car.
What the vehicle record holds
- Service history, with the next-service-due banner computed from your interval settings
- Rego renewal banner
- Tyre tread readings per wheel, see tyre tread and the compliance list
- Notes, and any alert that should follow the car
- Ownership history, and a Transfer owner action when the car is sold
- Lifetime profitability, once the car has earned something
- A share link for the owner, see the service history you can share
- A lemon watch banner if the car is coming back too often
Archiving
Use Actions, then Select vehicles, to tick several rows and archive them in one go. An archived vehicle drops out of the dashboard counts, the service-due list and reminder eligibility, but nothing is deleted. Restore it from the vehicle record if the customer comes back.
Actions also holds Export CSV, which downloads your whole vehicle book.
Loading an existing book
Do not type hundreds of cars in. See bulk import vehicles from a spreadsheet.
