The customer-vehicle directory
Every automotive workflow in OneBookPlus is anchored to a specific vehicle, not a generic job. Service history, rego reminders, photo inspections, parts usage, and invoices all tie back to the rego-keyed vehicle record. Adding vehicles properly at intake pays compounding dividends.
Add a vehicle
From the dashboard or the vehicles list:
- Click + Add vehicle (top-right of the vehicles list)
- Required: Rego (3-10 chars). Optional but recommended: VIN (17 chars on most modern vehicles)
- Owner — link to a customer contact. The dropdown shows your existing contacts. Leave blank for a walk-in; you can link later from the vehicle detail page.
- Year / Make / Model / Colour — typed manually today. If you have a VIN, the VIN Decoder app auto-fills these (Apps → install VIN Decoder).
- Fuel / Transmission / Body / Engine — optional but useful for service quoting
- Current KM — captures the odometer at intake
- Rego renewal — pick the state, enter the rego expiry date, and (NSW only) the CTP expiry date
- Notes — anything specific to this vehicle (recurring issue, customer preference, fleet account ref)
Quick-add from the workshop dashboard
The top-right of the workshop dashboard has a rego search box. Typing an exact rego and hitting enter:
- If the vehicle exists, jumps straight to its detail page
- If not, takes you to the vehicles list with the query carried — you can then click + Add vehicle with the rego pre-filled
Fastest path for a phone enquiry: "What's your rego? Hold on... ah, here you are, last service was [date]..."
What the vehicle detail page shows
Once a vehicle is created and you've logged at least one service:
- Mini-stats — current KM, last service, total spent
- Next service due banner — colour-coded (rose / amber / emerald) based on the manufacturer or tenant-default interval
- Rego renewal banner — similar colour-coded view of the rego expiry
- Service history timeline — every service log with parts used and labour summary
- Notes section — including operational alerts that surface on the vehicles list
- Share link card — generates a public, tokenised URL like

Archiving and restoring
Vehicles that have been sold or stopped coming back can be archived from the edit modal. Archived vehicles don't appear on the dashboard, service-due list, or rego reminder eligibility — but the data stays in case the customer returns. Use Restore from the same modal to bring one back.
