Give an owner their service history

Issue a share link, email it, download the service-history PDF, and revoke or reissue the link when the car changes hands.

A full, dated service history is worth real money to a private seller, and it is the cheapest reason a customer has to come back to you rather than the dealer. Every vehicle record can hand that history over in three forms.

This is free and open to every automotive account.

The share link

On the vehicle record, find Share with customer and choose Generate share link.

You get a read-only web address with a long random token in it. Anyone with the link sees the service history. There is no login and no password. From the same panel you can:

  • Copy the link
  • Send it through WhatsApp, which opens WhatsApp with the message already written
  • Email link to owner, enabled once the owner contact has an email address
  • Rotate the link, which issues a new address and immediately kills the old one
  • Revoke it, which kills the address without issuing a new one

Once someone has opened it, the panel shows how many times the link has been viewed and when it was last opened. That is a useful signal on its own: a link viewed six times in a week usually means the car is being sold.

The link is served from the public OneBookPlus site, not from your dashboard, so a customer never lands on a login screen.

The PDF

The same public page offers a service-history PDF. You can also send it yourself: Email to owner on the vehicle record emails the PDF, with your workshop email set as the reply-to address, so a customer who replies reaches you and not us.

What prints on it

Three things about the printed record are yours to set, under Vehicles, then Workshop Settings:

  • whether your ABN prints
  • how the owner's name appears, or whether it appears at all
  • whether the verify block prints

The verify block is a short line pointing a buyer back at the live page for this vehicle, so a printed history can be checked rather than taken on trust. Those three controls are owner and admin only. Everyone else sees them and cannot change them.

When the car is sold

Use Transfer owner on the vehicle record. The history stays with the car and the previous owner is kept in the ownership history. Rotate or revoke the old share link at the same time, otherwise the previous owner keeps a live view of a car that is no longer theirs.

If the customer says the link is dead

A revoked or rotated link stops working immediately and shows a not-found page. Issue a fresh one and send that. There is no way to bring an old token back, which is the point of it.
