A service log does three jobs at once: it builds the customer's history, it drives the next-service-due date, and it feeds the service-due call list. A vehicle with no logged service shows "no service history yet" and will never appear on a due list.
Recording a service
Open the vehicle and use the Log a service form.
- Service kind, from the list: oil change, minor, major or logbook service, brake service, tyre service, wheel alignment, battery, roadworthy or pink slip, pre-purchase inspection, panel, paint, detail, electrical, diagnostic, or other
- Service date, today by default
- KM at service, which also updates the vehicle's current odometer
- Summary, the one line that shows in the timeline
- Parts used, free text
- Next service due date or KM, only if this car is on something other than your default interval
- Notes, internal only, never shown to the customer
Save, and the next-service-due banner recalculates.
Fixing one
Every entry in the timeline can be edited or deleted. Correct the date, the kilometres or the summary in place. Deleting an entry recalculates the vehicle's last service from whatever remains, so a mis-keyed 180,000 km does not sit there poisoning the due date forever.
Updating the odometer without logging a service
Use Update odometer on the vehicle record when a car comes in for something that is not a service. It moves the current KM and nothing else, which keeps the kilometre-based due date honest for a high-mileage driver.
Electric, plug-in hybrid and hybrid
When the vehicle's fuel type is electric, plug-in hybrid or hybrid, the service form grows an EV-specific check section:
- Battery state of health, as a percentage
- Software version
- Pass or concern flags for the 12V auxiliary battery, the charge port pins and high-voltage battery temperature
- Notes
For several makes, including Tesla, BYD and MG, the section also shows a short list of the checks that make actually needs. See the EV service fields.
What the log feeds
- The Service Due worklist and the automatic reminder emails, see the service due list and reminders
- The owner's shareable history and the service-history PDF, see the service history you can share
- Lifetime profitability on the vehicle record, which adds up completed jobs, paid warranty claims, paid insurance repairs and delivered pre-purchase inspections for that car
Booking the next visit
The vehicle record has a Schedule follow-up booking button that creates the next booking straight from the car, so you are not asking the customer to ring back. It also mutes that vehicle's customer reminder until a week before the new date, so nobody gets chased about a service they have already booked.
