Where everything lives
Almost everything that controls how your invoices and quotes look sits on one page: Settings, then Document Appearance.
Changes show in a live preview beside the settings, and they apply to every new document you create from that point on. The same settings cover both invoices and quotes, so you set this up once.
Choose a template
There are eight templates, and the preview updates the moment you pick one:
- Classic is the clean, traditional layout.
- Modern adds a coloured accent band across the header.
- Minimal uses lots of white space and fine rules.
- Bold uses an oversized title and heavier type.
- Sidebar puts your logo, business details and a payment summary in a full-height coloured column.
- Letterhead is a formal, centred, professional-services look.
- Receipt is a narrow, monospace tape, handy for quick counter sales.
- Statement leads with a large Amount Due at the top and is payment-first.
Your logo
Upload or replace your logo under Branding. Then on the Document Appearance page you can:
- Set the logo size to Small, Medium or Large.
- Turn on the logo-only header, which shows just your logo at the top. Your business name and ABN move down to the From block, so the invoice stays a valid tax invoice.
Colours, font and header
- Accent colour tints the headings, the total, and the template bands.
- Font switches between a sans-serif, a serif, and a monospace look.
- Header layout aligns the header to the left or centres it.
Choose what prints
Turn individual details on or off so each document shows exactly what you want:
- ABN
- Bank and payment details (the How to pay block)
- Due date
- Notes
- Qty and Unit price columns (turn these off for a simple amount-only table)
- The PAID or OVERDUE stamp. Your customer only ever sees PAID or OVERDUE, never Draft or Sent.
Rename the columns
Under Detail and layout you can rename the line item column headings to suit your trade. For example, change Description to Item, Qty to Hours, or Amount to Total. Leave a box blank to keep the standard heading.
Date format
Choose how issue and due dates read:
- 1 June 2026
- 01/06/2026
- 2026-06-01
Move sections up or down
Also under Detail and layout there is a Section order list. Use the up and down arrows to put Notes above or below the How to pay block, whichever you would rather have at the bottom of the page. This applies to the standard templates (Classic, Modern, Minimal and Bold).
Add your bank and payment details
The How to pay block fills in from your saved payment methods, so your customers can see exactly how to pay. Add them under Payment settings and switch the methods on:
- Bank transfer (BSB and account number)
- PayID
- BPAY (biller code)
Once they are set and the Payment details field is on, they print on every invoice, along with a line asking the customer to use the invoice number as the payment reference.
Invoice and quote numbering
Set the format and the next number, for example the INV-0001 sequence, under Numbering. The same numbering settings apply to quotes.
Extra columns
If you need columns beyond the standard ones, such as weight, a reference, or a PO number, add them under Custom fields. They then appear as extra columns on your documents.
Printing, downloading and emailing
Print now gives you the exact same PDF you download or email. There is one document behind all three, so what you print, save and send always match. Every appearance setting above flows straight through to it.
A few tips
- Changes apply to new documents as soon as you save. If your browser does not show an update, do a hard refresh with Ctrl and F5.
- Everything here applies to quotes as well as invoices.
