Record roadworthy and pink slip certificates

Record a certificate per state with the right validity and result, print an evidence pack, raise a job off a failure, and remind the owner before it lapses.

Vehicles, then Roadworthy, is your register of the safety certificates your workshop issues. It is free and open to every automotive account.

Read this first

Nothing here is lodged with any state authority. There is no upload to Service NSW, VicRoads, TMR or anyone else. You still lodge through your own state system exactly as you do now. This register is your record of what you issued, your evidence pack, and your renewal chase.

Recording a certificate

Choose the state first. The state decides two things for you:

  • What the document is called. New South Wales eSafety inspection, Victorian Roadworthy Certificate, Queensland Safety Certificate, Western Australian Certificate of Inspection, South Australian roadworthy inspection, Tasmanian AIS inspection report, Northern Territory roadworthy inspection, ACT Certificate of Inspection.
  • How long it is good for. New South Wales 6 months, Victoria 30 days, Queensland 2 months or 2,000 km for a non-dealer, Western Australia 3 months, Tasmania 30 days, Northern Territory 6 weeks, ACT one month. South Australia publishes no fixed expiry on the light vehicle report, so we leave the field for you.

The Expires field is filled in for you from that rule and stays editable. Where a rule is published in months, the date we suggest is deliberately a day or two short of the calendar month, so the certificate never reads as current after it has actually lapsed. The expiry printed on the certificate always governs. Set the field to that date.

Then fill in the vehicle (rego, and VIN, year, make and model where you have them), the result, the inspector name and licence, and the time of inspection. Leave the time blank and we record the current time.

The result

Pass, Concession pass, Fail or Pending.

A fail requires you to itemise what failed. That text is not busywork: it is what prints on the evidence pack and what pre-fills the rectification job.

Advisory notes is for the things that did not fail but the customer should hear about.

After a fail

Open the certificate and choose Schedule fix. That creates a high-priority job pre-filled with the fail items, linked to the vehicle's contact where you have one, with a note pointing back at the certificate. You land on the new job ready to schedule it.

The evidence pack

Every certificate has a printable one-page pack: the vehicle, the result, the fail items, the advisories, the inspector and the dates. Print it for the customer, or keep it for the file when someone questions an inspection months later.

The renewal chase

Once a day we email the owner about a certificate that is approaching its expiry, from 30 days out and up to 7 days past, at most one per certificate per 7 days.

It only chases pass certificates. Chasing a customer about a certificate you failed them on would be absurd, so we do not. The vehicle has to be linked to the certificate and the owner contact needs an email address.

If the page says a migration is missing

That means this deployment has not had the certificate table created yet. It is not a subscription problem. Ask your operator to apply the outstanding migration.
