Track insurance repair claims

Insurer-paid smash, panel and glass work: the claim pipeline, days waiting on the assessor, assessed against actual hours and a monthly scorecard. Paid add-on.

Insurer-funded repairs are the work most likely to go quiet between an assessor visit and a payment. Vehicles, then Insurance Repairs, keeps every claim in one queue.

What it costs

Insurance Repair Portal, 39 dollars a month from the App Marketplace. Without it, the page shows what the app does rather than your claims.

Read this first

Nothing is lodged with any insurer from here. You still work the insurer's own process. This is your side of it.

Logging a claim

Record the insurer, the claim number, the incident date, the vehicle, and the assessor's name and phone. Decode the VIN on the intake form rather than typing the vehicle out.

The pipeline

A claim moves through: quoting, awaiting assessor, approved, parts ordered, in repair, completed, invoiced, paid, or cancelled. The list groups by status and shows how long each claim has been sitting where it is.

Days waiting on the assessor is the number that earns the subscription. A claim stuck at awaiting assessor for eleven days is not a paperwork problem, it is a bay you are not using.

The money

Record quoted, approved, invoiced and paid amounts, the excess and whether the customer has paid it, and two numbers that tell you whether the job was worth doing:

  • Assessed labour units, what the insurer allowed
  • Actual labour hours, what it really took

The gap between those two, across a year of one insurer's work, is the honest answer to whether you should keep taking it.

The list also totals what you have invoiced and not been paid.

Chasing and printing

  • The chase control, labelled Email the assessor with the days waiting beside it, writes a chase note for that claim and emails it to your own workshop inbox, at the address on your business profile. Nothing is sent to the insurer or to the assessor. We hold no assessor email address anywhere, so the note is prepared for you to forward to whichever assessor address is current. The confirmation before it goes says so. Sending it also stamps the claim notes, so the chase is on the record. The control appears only while the claim is awaiting an assessor, and only once it has been waiting more than five days.
  • The evidence pack prints a one-page summary of the claim for the file or for the insurer.
  • Issue roadworthy cert creates a certificate off the repair, so a car going back on the road does not need the details typed again. It appears once the repair is completed or invoiced and the vehicle has a rego on file. See roadworthy and pink slip certificates.

The monthly scorecard

Once a month we email your workshop a per-insurer scorecard for the period. It is the review you would never sit down and do yourself.

Repeat repairs on the same car

Two or more active insurance repairs on one vehicle inside 90 days puts it on lemon watch, which is often the first sign that earlier repair work has a hole in it. See lemon watch.

If your subscription lapses

Repairs you have already logged stay readable, and a repair already on your books stays workable. Only logging a new claim refuses.

If the page mentions your business type

The module is tuned for smash, panel and glass shops. If your business type is something else it still works, and the page says so rather than hiding.
