What each form is for

Variation order

The change, its price with GST shown separately, the days it adds, and both signatures before the work starts. The most argued-over piece of paper on a renovation, so it is the one to get in writing.

Site instruction

What was asked for on site, by whom, when, and whether it changes price or time. An instruction records; a variation changes the contract.

Extension of time claim

The cause, the days claimed, the evidence attached, and a response block for the client. Most contracts set a deadline for giving notice of a delay, so the dates matter.

Practical completion checklist

The handover walk-through: what was inspected, what is outstanding, when it will be done, and when the defects period ends.

Defects list

Ten lines for location, defect and date rectified, and a sign-off when the list is closed.

Frequently asked questions

Are these legal contract documents?

No. They are working forms for the paperwork that happens during a job: a variation, an instruction, a delay claim, a handover, a defects list. The building contract itself, and the notice periods and definitions these forms refer to, come from your own contract, such as an HIA or Master Builders contract. Read the small print on each form and check your contract before relying on one.

What does fillable mean here?

Every box on the PDF is a real form field. Open the file in Acrobat Reader, Preview, a phone or a browser, click a box and type. Tick boxes tick. The signature lines are fields too, so the file works with any fill-and-sign tool, including our free one.

Is my business information stored?

No. The PDF is built on your device from what you type, and downloaded from your browser's memory. Nothing you type here is sent to us: the page records the same anonymous usage analytics as the rest of the site, and none of your business details are in it. Reload the page and the fields are empty again.

Can I change the wording or add fields?

The downloaded PDF can be edited in Adobe Acrobat (Prepare Form) or PDF Expert like any fillable PDF: add, move or rename fields, or change the text. If a form is missing something you use on every job, tell us and we will add it.

How do I get a client to fill in and sign one of these?

Email the PDF and ask them to fill and sign it in their PDF viewer, or upload it into PDF Forms in OneBookPlus, fill in your side, and send them a private link. They fill in what is left, sign by drawing, and you both get the completed copy with a completion record on the last page.
