Configure frequency, auto-send, end dates, and manage recurring invoice schedules.

Setting Up Recurring Invoices

If you bill the same clients on a regular schedule — monthly retainers, weekly services, or quarterly fees — recurring invoices eliminate the repetitive work of creating invoices manually.

Creating a Recurring Invoice

  1. Go to Invoices from the sidebar
  2. Click New Invoice
  3. Fill in the invoice as normal — client, line items, amounts, and GST
  4. Toggle the Recurring switch to on
  5. Configure the recurrence settings:
  • Frequency — Weekly, Fortnightly, Monthly, Quarterly, or Yearly
  • Start date — when the first recurring invoice should be generated
  • End date (optional) — when the recurrence should stop. Leave blank for indefinite
  • Auto-send — toggle on to automatically email the invoice to the client when generated
  1. Click Save

How Recurring Invoices Work

Once set up:

  1. OneBookPlus generates a new invoice automatically on each recurrence date
  2. If auto-send is enabled, the invoice is emailed to the client immediately
  3. If auto-send is off, the invoice is created as a draft for you to review and send manually
  4. Each generated invoice has a unique invoice number and the correct dates

Managing Recurring Invoices

To view and manage your recurring invoices:

  1. Go to InvoicesRecurring tab
  2. You'll see a list of all active recurring invoices
  3. Click any entry to:
  • Edit the template (changes apply to future invoices)
  • Pause the recurrence temporarily
  • Cancel the recurrence permanently
  • View history — see all invoices generated from this template

Common Use Cases

  • Monthly retainers — agency fees, consulting, managed services
  • Weekly services — cleaning, gardening, maintenance
  • Quarterly fees — bookkeeping, compliance, reporting
  • Annual renewals — domain names, hosting, subscriptions

Tips for Recurring Invoices

  • Use auto-send for clients who expect the invoice on a set date
  • Set an end date for fixed-term contracts
  • Review the Recurring tab monthly to ensure all schedules are correct
  • Combine with AI payment chasing to automatically follow up if the recurring invoice goes overdue
